Ingkarni Wardli Atrium - Booking Form

Located on the ground floor of the Ingkarni Wardli building, the covered plaza 'atrium' is a unique and effective venue for events, exhibitions and displays.

University of Adelaide staff and student associations may request to book the atrium for such purposes. All requests must be submitted at least six weeks prior to the proposed date of the event using the online booking form. Booking approval is at the discretion of the Faculty of Engineering, Computer and Mathematical Sciences (ECMS) and subject to booking conditions.

Booking requests from external organisations may be considered and are subject to a hiring fee. Please contact ECMS Administration to discuss your requirements.

Please note: This booking form applies to the atrium only. Student areas in the Ingkarni Wardli ground floor foyer cannot be booked for events. When organising your event, please keep in mind that the atrium is used as a main thoroughfare to Ingkarni Wardli and the building's ground floor lifts. It you have any concerns, please discuss your requirements with ECMS Administration.

When booking the atrium, you are responsible for organising:

  • a signed risk assessment, to be submitted at least two weeks prior to the commencement of your event. Further information can be found in the booking form
  • event set up and pack down, including any equipment used (excluding atrium furniture)*
  • clean up after the event and returning the atrium to its original state
  • security, including out of hours access to the atrium and/or Ingkarni Wardli building, if required
  • catering
  • audio visual equipment
  • licencing (i.e. liquor licence).

*The atrium contains 33 tables and 82 chairs for current student use, which can be used for your event. ECMS Administration can organise the removal and replacement of atrium furniture for events, if requested in your booking.

Event Set Up

Please review the Event Safety Management Checklist to determine whether the event requires a risk assessment.

Please note: If the atrium requires a significant change of layout to accommodate the event, a risk assessment will need to be completed.

All risk assessments are to be submitted to ECMS Administration at least two weeks before the event.

The atrium contains 33 tables and 82 chairs.

Please note: Furniture will only be removed if the event requires use of the entire atrium space.

Porters will be arranged by ECMS Administration if the furniture needs to be removed. At least three weeks' notice is required for any furniture removal.

If the existing furniture is moved around within the atrium, all items are to be placed back to their original positions after event pack down. Please refer to the furniture map for layout.

If yes, please read the Alcohol Management and Use Policy. Please ensure you submit an On Campus Event Checklist with your risk assessment.

Please note: Loud music is not permitted in the atrium during business hours.

Please advise Security Services if you require out of hours access to the atrium. This must be organised in advance. If more than 100 people are in attendance after hours, or alcohol is being served, security must be present (at a cost).

The security office is available after hours. Please keep their contact details on hand during the event.

Please note:

  • All lighting to the atrium goes off at 8pm. If lighting is required after this time, please include details in the notes/comments section, below.
  • In wet weather, the atrium can leak, as this is not a waterproof venue. Please see atrium map for an indication of possible leak locations.
  • There are a limited number of power circuits in the atrium. If a circuit is overloaded and trips, you will be charged a cost for Spotless Electrical to attend and fix the issue. To avoid this, ensure you do not use more amps than stated on the atrium map. If you have concerns regarding power requirements, contact ECMS Administration.
